Administrative Coordinator

Reports to: St. Cloud Area Director

Pay Rate: $21.00/hour

Status: Part-time, 12 hours/week

Arrive Ministries is a Christian nonprofit seeking life transformation for refugees, immigrants, and the Church. We live out God’s command to welcome refugees and immigrants by providing direct program services, mobilizing the church, and calling our communities to respond Biblically.

Job Summary: The administrative coordinator manages the office lobby while also providing administrative project support. Responsibilities also include managing gift-in-kind donations, processing volunteer applications, and assisting with class coordination.

RESPONSIBILITIES

Guest Services

  • Greet guests and field inquiries, assisting with enrollments, scheduling, or donation drop-offs
  • Monitor general emails, voicemail, and mail
  • Manage office supply inventory and hospitality refreshments for guests
  • Ensure office common areas, classrooms, and lobby are clean and welcoming for guests
  • Assist with student transportation

Donation Room Inventory Management

  • Coordinate gift in kind requests from clients and fulfillments by donors
  • Provide receipts to donors as requested and record donation information according to Arrive Ministries’ development processes
  • Oversee donation room inventory and organization, coordinating volunteers to assist when needed

Administrative Projects

  • Regular record-keeping, data input, and reporting of volunteers, clients, and donors
  • Assist with event coordination
  • Assist with communication to constituency through email, phone calls, mailings, thank you cards

KNOWLEDGE AND SKILLS

  • Demonstrated relationship with Jesus Christ
  • Previous experience managing an office environment and coordinating administrative projects
  • Excellent time management, organization, and problem-solving abilities
  • Demonstrated ability to work independently, communicate professionally (verbal and written), take initiative, and build collaborative professional relationships with internal and external partners
  • Cultural competency in working with refugee and immigrant families, including limited English proficiency
  • High competency in database functions, creating and maintaining Excel spreadsheets and utilizing Microsoft Office products
  • Able to speak, read, and write fluently in English
  • Agree with and adhere to Transform Minnesota’s Statement of Faith, Core Values and Code of Conduct
